This guide is designed to help Super Admins and course creators get up and running quickly and confidently.

In just a short amount of time, you’ll be able to customise your portal, configure key platform settings, invite users, and even generate your first AI-powered course.

Whether you're launching training for your team or building a scalable learning business, this checklist will walk you through each essential step—from setup to going live.

Launch Checklist — Step by Step

Phase 1: Portal Setup

  1. Log in to your Coursebox account and navigate to Settings

  2. 2. Upload your company logo and set your brand colours

  3. 3. Set your portal name and custom URL (if applicable)

  4. 4. Configure your time zone and language settings

  5. 5. Set up your email sender name and reply-to address

Phase 2: User Management

  1. Invite your admin team members and assign roles (Super Admin, Admin, Instructor)

  2. 2. Set up learner groups or cohorts if needed

  3. 3. Configure your learner self-registration settings (open, invite-only, or approval required)

  4. 4. Test learner login by creating a test learner account

Phase 3: Course Creation

  1. Click "Create Course" and choose your method (AI generation, manual, or SCORM upload)

  2. 2. Add your course title, description, and thumbnail image

  3. 3. Build or import your course content (modules, lessons, quizzes)

  4. 4. Set completion criteria (e.g., pass mark, required lessons)

  5. 5. Preview the course as a learner before publishing

Phase 4: Publishing & Enrolment

  1. Click "Publish" to make the course live

  2. 2. Enrol learners manually, via CSV import, or enable self-enrolment

  3. 3. Send enrolment invitations if required

  4. 4. Test the full learner journey end-to-end

Phase 5: Go Live

  1. Confirm all learners can log in and access their course

  2. 2. Check reporting is tracking completions correctly

  3. 3. Set up any certificates for course completion

  4. 4. Share the support link with your learners: support.coursebox.ai

Troubleshooting Common Setup Issues

Activation email not received: Ask the learner to check spam/junk. Admins can resend the invitation from the Users section.

Course not appearing for learners: Confirm the course is Published (not Draft) and the learner is enrolled.

Logo not displaying: Ensure the image is under 2MB and in PNG or JPG format.
