Coursebox LMS Launch Checklist

This guide is designed to help Super Admins and course creators get up and running quickly and confidently.

It covers customising your portal, configuring key settings, inviting users and generating your first AI course.

Whether you're launching training for your team or building a scalable learning business, this checklist will walk you through each essential step—from setup to going live.

Launch checklist

Phase 1: Portal setup

1. Click the dropdown (▼) next to your profile icon and select Theme Settings.

2. In General, check your Portal Name and upload your logos. In Colors and Font, set your brand colours and fonts (a branded portal is available on Pro and above).

3. To use your own domain, see How can I use my domain name with Coursebox? (Pro + LMS and Enterprise).

4. Set your portal’s language in Settings → Language.

5. Customise your email templates, and send from your own address with SMTP, in Settings → Email.

Phase 2: User management

1. Invite your admin team from Users, then change each admin's Role to Admin (available on Pro + LMS and Enterprise). Each admin uses an admin seat. See How do I add another portal admin?

2. Set up learner groups or cohorts if needed (groups are available on Pro + LMS and Enterprise).

3. Choose how people can sign up in Settings → Users and registration (email sign-up and social media registration).

4. Test learner login by creating a test learner account.

Phase 3: Course creation

1. Click + Create at the top of the left-hand menu. Describe your course in the prompt box to generate it with AI, or click + in the prompt box to Add files, Create manually or Create RTO Package.

2. If you are generating with AI, choose a Course Setup first: click the Auto setup dropdown below the prompt box to set the learner level, tone, media, AI tutor, and your course colours and fonts. Click Save as setup so every new course follows the same choices.

3. Add your course title, description and thumbnail image.

4. Build or import your course content (modules, lessons, quizzes). To include existing SCORM content, add a SCORM block to a page (Pro and above).

5. Set completion criteria (for example, pass mark or required lessons).

6. Click Switch to learner view to preview the course before publishing.

Phase 4: Publishing and enrolment

1. Open the course, click Share and set the Access level to Restricted, Public or Sell this course. Choosing any of these publishes the course.

2. Enrol learners from the Share panel under People with access, by CSV import (Pro + LMS and Enterprise), or make the course Public so learners can enrol themselves.

3. Send enrolment invitations if required.

4. Test the full learner journey end to end.

Phase 5: Go live

1. Confirm all learners can log in and access their course.

2. Check reporting is tracking completions correctly in Reports.

3. Set up any certificates for course completion (Creator and above).

4. Share the support link with your learners: support.coursebox.ai

Troubleshooting common setup issues

Activation email not received: Ask the learner to check spam/junk. Admins can resend the invitation from the Users section.

Course not appearing for learners: confirm the course’s Access level isn’t Draft and the learner is enrolled.

Logo not displaying: check the image meets the guidance shown next to Header Logo in Theme Settings → General.

SCORM not loading: see SCORM blank screen in enterprise LMS — driver blocked by firewall/CDN.
