Certificate Management

Certificates are a valuable way to recognise learner achievement, award a completion certificate, and reinforce your training program's credibility. Whether you want to create a certificate, design a certificate template, link a certificate to a course, download a certificate, or email a certificate to a learner, this section covers everything.

Plan requirement: Certificates are available on Creator and above (Creator, Creator Plus, Pro, Business and Enterprise) — unlimited, auto-sent on completion and customisable per course. They are not included on the Free plan. The other Achievements tab, Badges (plus the leaderboard and points), requires Pro and above. Compare plans.

ℹ️ Updated August 2026: Certificates are now designed in a drag-and-drop certificate builder. You add and position elements on a canvas (text, headings, images, backgrounds and lines) and can set the paper size and orientation.

Create Course Certificates (Design a Certificate)

Click Achievements → Certificates from the side navigation. The Achievements area has three tabs — Certificates, Deleted certificates and Badges.

To build a certificate, click + New Certificate. This opens a blank canvas where you design the certificate yourself.

The certificate builder is an editor. Give your certificate a name in the field at the top-left, then use the toolbar on the left to add and arrange elements. Click Save when you're done.

Toolbar elements (left side):

  • Add text — add a paragraph or body text block.

  • Add heading — add a larger heading, e.g. a title.

  • Add image — upload and place an image, such as your logo or a signature. Select an image to set its width, height and opacity, or lock its aspect ratio.

  • Add background — choose a preset background (Classic, Modern, Navy, Minimal, Elegant, Corporate, Emerald, Sunset), reuse a saved background, or upload your own (recommended size: 210mm x 297mm for A4).

  • Add lines — add divider or signature lines.

Page setup (top-right):

  • Paper size — choose A4, A3, A2, A1 or Letter.

  • Orientation — switch between Portrait and Landscape.

  • Zoom and undo/redo controls, plus Present for a full-screen preview of the finished certificate.

  • Text styling: Select any text element to open the text panel, where you can change the Font, Size and Color, apply Bold / Italic / Underline, and set the alignment.

Dynamic fields: The default template includes placeholder elements — Firstname Lastname, Course Title and Date — that populate automatically when the certificate is issued. The learner's name and the completion date (the date they finished the course, not the date they enrolled) are filled in for each learner. Position these placeholders anywhere on the canvas.

Duplicate Certificates (Copy a Certificate)

Click the duplicate icon on an existing certificate to create a copy.

Search & Filter Certificates

The certificate page has a search bar at the top. You can search by certificate name or course name to quickly find a certificate.

Click Manage on the lower right corner of the certificate to open the Include Course dialog.

Under Required Learning, use the Search by name… field to find a course and add it. You can add more than one course to a single certificate — each course appears as its own row. Drag the handle on the left of a row to reorder it, or click the × on the right to remove it. Click Save to apply your changes.

Force Completion Order — tick this checkbox if learners must complete the courses in the order listed. Leave it unticked to let learners complete the courses in any order.

If you would rather issue a separate certificate for each course, create one certificate per course and link a single course to each. Use the duplicate icon on an existing certificate to copy your design.

Important: Certificates can only be assigned at the course level. Assigning to individual sections or lessons is not supported. Note: Your course must be published before a certificate can be assigned and issued to learners. If your course is still in draft, publish it first via the Share panel before linking a certificate.

Download & Email Certificates

Certificates are automatically emailed to the learner when they complete the course. This email is controlled by the learner's own Certificate Completions notification setting — if a learner has switched that off, they will not receive it. Admins, course owners and facilitators are not notified when a learner earns a certificate. If you need an alert when someone finishes a course, use the Zapier Course Completed trigger.

How learners download their own certificate

Learners do not need to wait for the email, and they do not need to ask an administrator. Every earned certificate is available from the learner's own profile on all plans that include certificates:

  1. The learner opens their Profile.

  2. They scroll to the My Expertise section.

  3. They select the Certificates tab (alongside Experience, Education and Badges).

  4. Each completed course is listed with its completion date and a certificate icon on the right — clicking it downloads the certificate.

If a learner says they never received their certificate, point them here first. The certificate exists in their profile as soon as the course is complete, even when the completion email was never delivered or their Certificate Completions notification was switched off. This works on every plan and resolves most "missing certificate" reports without any administrator action.

Administrators can also download a certificate from the certificate list by clicking the certificate icon next to the name.

Limitations & Not Supported Features

  • Certificates cannot be linked to a single quiz or exam only — issued at course completion level only.

  • Certificates are available at course level only — not at section or lesson level.

Regenerate Course Completion and Trigger Certificates (Resend a Certificate)

Try this first: in most cases you do not need to regenerate anything. If a learner has completed the course, they can download their certificate themselves from Profile → My Expertise → Certificates (see above). Regeneration is only needed when the completion itself did not register.

For Business & Enterprise Accounts only.

Super Admins can manually regenerate course completion and re-trigger a certificate when a learner's completion did not register correctly.

  1. Go to the learner's profile.

  2. Select the Reports tab.

  3. Locate the course and click the circular arrow icon under the Result column.
